Connect your bank account

Connect a US bank or credit card so BooksGPT imports and categorizes your transactions for you. The connection is read-only, so BooksGPT can see your transactions but can never move money.

In the left sidebar, click Banking. This opens your Connected accounts page.
Click Connect a bank (top right).
Search for your bank, or click a popular tile (Chase, Bank of America, Wells Fargo, American Express, Mercury, Brex, and more). You can pick any of 5,000+ US banks and credit unions inside the secure window.
Choose how far back to import: Last 90 days (the fastest), 6 months, or a custom range. History goes back up to 6 months. Click Continue.
A secure window opens. Sign in to your bank and choose which accounts to connect.
Back in BooksGPT, your accounts are mapped to your books automatically.
Choose Just import to categorize them yourself, or Import + AI categorize to let BooksGPT categorize on import. You land on the Transactions page to watch them sync.

Your accounts then sync automatically every day. To refresh sooner, click the resync icon next to an account on the Connected accounts page.

Good to know:

Supported account types are checking, savings, and credit cards. US banks only.
If a bank will not connect, you can import transactions by CSV instead. Use Import a CSV under the sidebar More menu for a single statement, or see "Switch from Wave or QuickBooks" for a full migration.

Switch from Wave or QuickBooks

Moving to BooksGPT does not mean starting over. Export a few reports from your old software as CSV files, drop them in, and BooksGPT rebuilds your books in about 15 minutes. You do not need a paid AI plan to migrate.

From your dashboard, click the Onboard from Wave or QuickBooks tile. You can also reach it from the sidebar More menu under "Onboard from Wave / QuickBooks". This opens a page with four upload slots.
In Wave or QuickBooks, export these reports as CSV: Trial Balance, General Ledger (called "Account Transactions" in Wave), and optionally Aged Receivables and Aged Payables if you have unpaid invoices or bills.
Drag each CSV onto its slot, or skip the ones you do not have. The banner turns green and says "Ready to migrate" once you add a Trial Balance or a General Ledger.
Files process in the background. When finished, you get a summary of the accounts, transactions, invoices, and bills that came across.

Good to know:

Files must be CSV. BooksGPT does not read a QuickBooks company file (.qbo), so always use the CSV report exports.

Question 3

Ask the AI Copilot about your books

Accepted Answer

Copilot is your built-in assistant. Ask it questions about your finances in plain language instead of hunting through reports.

Open Copilot:

Click Copilot in the sidebar, or
Click the Ask BooksGPT button in the bottom-right corner.

It slides in as a panel on the right. Press Escape to close it.

What you can ask:

Profit and loss, revenue, expenses, and margin, for example "Am I profitable this quarter?"
Balance sheet, cash, and accounts receivable or payable
The balance in a specific account
Recent transactions, for example "What did I spend at Amazon last month?"
Tax and deduction suggestions, with IRS references to review with your CPA

Good to know:

Copilot needs a paid seat and counts against your monthly chat allowance.
Copilot answers and advises. It does not change your books from the chat.

How to import your data from Wave or QuickBooks

Moving to BooksGPT does not mean starting from scratch. You can bring your full history across from Wave or QuickBooks in about 15 minutes. You export a few reports as CSV files from your old software, drop them into BooksGPT, and we rebuild your chart of accounts, your opening balances, every past transaction, and any unpaid invoices or bills. You do not need a paid AI plan to do the migration.

What you will need

Your login for Wave or QuickBooks, so you can download the reports.
At least one of these two reports, exported as a CSV file: Trial Balance, or General Ledger (in Wave this report is called "Account Transactions").
Optional, only if they apply to you: Aged Receivables (unpaid invoices your customers still owe you) and Aged Payables (unpaid bills you still owe vendors).
A few minutes. The files process in the background, so you can keep working.

You only need one of Trial Balance or General Ledger, because either one contains your full list of accounts. The Trial Balance gives the cleanest opening balances. The General Ledger also brings over every individual past transaction. If you have both, upload both and we use the best of each.

Create, send, and get paid on an invoice

Accepted Answer

Create a professional invoice, send it as a branded email with a link to view and download, and record the payment when it arrives.

Create and send:

Go to Invoices in the sidebar, then click New invoice.
Pick the customer in Bill to.
Set the Issue date and Due date. Quick presets are On receipt, Net 7, Net 14, and Net 30.
Add line items: item, description, quantity, unit price, and optional tax. Click Add line for more rows.
Click Save and send. In the send window, set the recipient, subject, and message, preview the PDF, then click Send invoice. Your customer gets a branded email with a link to view and download it.

Record a payment:

Open the invoice and click Record payment.
Enter the amount, the date, and the account it was deposited to. Partial payments are supported, so you can record more later.

Manage an invoice (the More menu):

Duplicate copies it to a new draft.
Void reverses a posted, unpaid invoice while keeping its number. Drafts are deleted instead.
Invoices past their due date without full payment turn Overdue automatically each morning.

Note: customers cannot pay by card directly through BooksGPT yet. Collect payment your usual way (bank transfer, check, or your own payment link) and record it on the invoice.

Fix or change a transaction's category

You can correct any category in a click, and re-run the AI on a batch when you need to.

Fix one transaction:

Go to Transactions in the sidebar.
Click the category cell on the transaction.
Pick the correct category. It saves instantly.
To mark it done, click the transaction's status icon to set it to Reviewed.

Re-run AI on many transactions:

Go to Banking in the sidebar (your Connected accounts page).
Click the Re-run AI button in the header. It shows how many uncategorized transactions it will process. You can also select specific rows first.
Small batches run right away. Large batches ask you to confirm, since they use some of your monthly AI quota.

Good to know:

Re-running AI never overwrites a category you set yourself.
A single click processes up to 1,000 transactions. If you have more, click again to queue the next batch.
