Run your bookkeeping practice on BooksGPT

BooksGPT is built for bookkeepers and accountants with many clients. Each client lives in its own workspace, with its own books, bank feeds, and reports, all under your one login.

How it is priced:

  • The Business plan is $289 one time and includes 3 workspaces.
  • Each additional workspace is $5 per month on the lifetime plan. Cancel anytime.
  • Inviting clients and teammates is free. There are no per-seat charges.

So a 15-client practice is the one-time $289 plus 12 extra workspaces at $5 per month.

Add a workspace for each client:

  1. Click your workspace name in the top bar.
  2. Click Add workspace.
  3. Choose Business, enter the client's business name, and click Create workspace.

You switch between clients from that same menu.

Invite your client to their workspace:

  1. In the sidebar, open Workspace, then under Setup click Members.
  2. Enter their email, pick a role, and click Send invite.

Roles keep duties cleanly separated:

  • Client connects the bank and can view and edit their books. Banking stays in the business owner's hands.
  • Bookkeeper gets full admin and books access, but no bank control. Invite your own teammates this way.
  • Editor edits the books only. Viewer is read-only.

Bring each client's books over:

Import each client's history from QuickBooks or Wave right into their workspace. Their own chart of accounts comes with it, nothing is forced into a template.

See "Switch from Wave or QuickBooks" and "Move from QuickBooks Desktop to BooksGPT".

Good to know:

  • Every workspace has its own Drive, so clients can drop statements and receipts where you will see them.
  • One client with several properties or locations still fits in one workspace. Use dimensions to report by property. See "Track properties, projects, and programs with dimensions".
