Integrations: connect QuickBooks Online

Integrations is where outside tools connect to your workspace. Today that means QuickBooks Online.


Open All pages in the left sidebar, then under Setup click Integrations.


Connect QuickBooks Online


  1. Click Connect QuickBooks.
  2. Sign in to Intuit and pick the company you want to bring over.
  3. You come back to BooksGPT and the import options open.


The connection is read-only. BooksGPT never writes anything back to your QuickBooks company.

What the import brings over


BooksGPT pulls your chart of accounts and full transaction history through Intuit, then checks the result against QuickBooks' own trial balance before anything is final.


If the two do not agree, you find out before the numbers are on your books.


Once you are connected


The card shows the company name and the date of your last import.


  • Re-import replaces the previous QuickBooks import rather than adding another copy. If your workspace also has bank-feed transactions, BooksGPT refuses any QuickBooks date range that overlaps them. Choose a range that ends before the bank feed begins, or contact support before changing the existing books.
  • Disconnect ends the link to Intuit. Everything already imported stays in BooksGPT.

If the connection expired


Intuit can drop the link after a password change, if the app is disconnected in QuickBooks, or when access expires. Your imported books stay as they are.


The card shows a warning like Connection to Ridgeline Print Co expired.


  1. Click Reconnect QuickBooks.
  2. Sign in to Intuit again.
  3. Import when you need a fresh copy.

Good to know


  • Connecting takes a workspace admin.
  • Bringing books over from a file instead? Use Import a file or Import wizard under Setup. See "How to import your data from Wave or QuickBooks".
  • Stripe, Google Sheets and Make or Zapier are listed under More integrations and are not open yet. Gusto payroll is not open yet either.
