Send a customer statement

A statement is one sheet per customer listing every invoice they still owe, with the age of each one. Send it when someone has several open invoices and you want them looking at the whole picture.


Open All pages in the left sidebar, then under Sales click Customer statements.


Send one statement


  1. Pick a customer from the list on the left. Only customers with an open balance appear.
  2. Check the statement on the right.
  3. Click Email statement to send it, or Print / save PDF to print or save it.


The email goes to the address on the customer record. If there is no email the button stays disabled, so add one on the customer first.

Send them all at once


Email all at the top right sends a statement to every customer who has an open balance and an email on file. The number in the button is how many that is.


You are asked to confirm first, and afterwards it reports how many were queued and how many were skipped for having no email.

Reading the aging


The five boxes split what is owed by how late each invoice is:


  • Not yet due is everything still inside its terms.
  • 1 - 30 days is recently late. A statement is usually enough.
  • 31 - 60 days and 61 - 90 days are worth a phone call.
  • 91+ days is where you decide about collections.


Anything past due is shown in red.


Good to know:


  • A statement changes nothing in your books. It reports what your invoices already say.
  • Balances come from your invoices, so record payments first and the statement follows.
  • Need the same numbers across all customers instead? Run the A/R aging report under Reports.
