Receipts: upload, match, and your storage limit

Drop a receipt in and BooksGPT reads the merchant, date and amount off it, then tries to match it to a real transaction.


Open All pages in the left sidebar, then under Purchases click Receipts.


Three ways in


  • Drag a photo or PDF onto the drop zone, or click to browse.
  • Forward it to your workspace's own receipt address. Copy it from the Forward receipts by email card.
  • Drop it into a Copilot chat.

What happens next


Each receipt becomes a card. While the AI reads it the card says "Reading receipt". Then one of three things happens:


  1. It matches a transaction. The card turns green and says linked. Nothing else to do.
  2. It offers candidates. Pick the right transaction from the list to link them.
  3. Nothing matches. Click Create cash expense, choose the account it was paid from and a category, then post it.

Linking a receipt attaches the image to a transaction you already have. Creating a cash expense posts a new one, so only use it when the spend is genuinely not in a bank feed.


Storage


Receipts and Drive files share one 1 GB allowance per workspace. The meter on the Drive page shows what you have used.


Good to know:


  • One receipt can be up to 25 MB. Photos and PDFs are both fine.
  • PDFs are not read automatically yet. Use Enter manually on the card.
  • If the AI misreads a receipt, Enter manually lets you type the real figures.
  • Unlink on a linked receipt sends it back to the matching step.
  • Receipts also appear in Drive, tagged Receipt, so your whole team can see them.
