Build and edit your chart of accounts

Your chart of accounts is every account your books post to. It arrives ready to use, so most workspaces only rename a few things and add what they are missing.


Open All pages in the left sidebar, then under Accounting click Chart of accounts.


The five tabs are Assets, Liabilities, Equity, Income and Expenses. Each row shows the balance in BooksGPT, and for connected accounts the bank balance beside it.


Add an account


  1. Click Add account.
  2. Enter a Name.
  3. Pick a Type, then a Detail type. Detail type decides where the account lands on your reports, so pick the closest match.
  4. Leave Code blank and one is assigned for you.
  5. Click Add.

Sub-accounts


Tick Make this a sub-account and choose the parent, or use Create sub-account in a row's menu.


Parent rows collapse and show what their children roll up to. An account with its own opening balance cannot become a parent.


Edit, retire, or merge


Click the ... button at the end of a row:


  • Edit account changes the name, code, parent, or description.
  • Make inactive hides an account from every picker. Nothing is deleted, posted entries stay, and reports do not move.
  • Merge into... moves everything posted to one account into another, then retires it. Your totals do not change and it cannot be undone.

Good to know:


  • Type and detail type lock once an account has posted activity. Changing them would reinterpret every journal line already posted to it.
  • A merge only works between two accounts of the same type and detail type.
  • Clicking anywhere else on a row opens that account's register.
